Common Sense is seeking an administrative assistant to support the Common Sense Kids Action team. Reporting to the senior manager for policy and advocacy, the person in this role will provide robust administrative support in a fast-paced, mission-driven environment. The ideal candidate is resourceful and has the ability to work both collaboratively and independently while being able to multitask.

LOCATION: San Francisco, CA

TYPE: Full-time (40 hours per week)

CLASSIFICATION: Non-exempt

REPORTS TO: Senior manager, policy and advocacy

WHAT YOU'LL DO:

Administrative Support

Provide clerical and administrative coordination support to the VP of California policy, the VP of communications, and the San Francisco-based Kids Action team

  • Maintain and organize calendars for the VP, CA policy, the CA Kids Campaign team and VP, communications
  • Make, and adjust, travel arrangements for the VP, CA policy, the CA Kids Campaign team, and VP, communications
  • Organize and schedule appointments
  • Coordinate logistics, preparation, and collateral materials for onsite and offsite meetings/conference calls
  • Submit and reconcile expense reports
  • Take detailed meeting notes and triage important, relevant updates for appropriate team members
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Maintain contact lists

Event Support

Provide direct event-planning support for policy-oriented events and activities

  • Develop and manage event task lists and timelines
  • Coordinate with venues, caterers, and other vendors
  • Manage event registration and correspondence with attendees
  • Invite and coordinate speakers
  • Manage day-of staff and volunteer assignments and coordinate production schedule

Other

Other ad hoc duties as assigned

  • Provide general onsite support to visitors
  • Perform project research
  • Assist with human resources procedures

WHAT WE NEED TO SEE ON YOUR RÉSUMÉ:

  • Bachelor's degree
  • Minimum of one year in an administrative support role; equivalent combination of education and experience sufficient to successfully perform the essential job duties may be considered.
  • Excellent written and verbal communications skills
  • Experience with the Google Suite (Calendar, Gmail, Docs, etc.)
  • Exceptionally strong organizational skills in managing a large number of details within multiple projects under firm schedules and deadlines
